What data do we collect
Through the contact form, the event registration form, the white paper download page and the chatbot, we may collect the following data:
- Identity and contact details: first name, last name, professional email, phone number, company name, job title;
- Preferences and interests;
- Your country.
What ARE THE PURPOSIS OF COLLECTING SUCH DATA AND THE LEGAL BASIS?
The data collected through the contact form, the event registration form, the white paper download page and the chatbot are processed for the following purposes, only upon your express consent:
- Initial contact and lead qualification (in this context, a prospect or customer account may be created or updated in our CRM system);
- Event registration and communication;
- Marketing communications and newsletter distribution;
In the event that commercial discussions progress and result in the signing of a contract, your personal data may be processed for the purposes of preparing and reviewing the commercial proposal, as well as for negotiating and managing the ensuing contract.
Furthermore, your personal data may be used for managing disputes, pre-litigation and litigation proceedings, should such situations arise.
These processing operations are based on Inetum’s legitimate interests.
WHO CAN ACCESS AND PROCESS YOUR DATA?
Only persons expressly authorized to process your data at Inetum in accordance with our internal authorisation policies will have access to it.
When organizing Events, Inetum may pass on your data to external partners, but only with your express consent.
For the purposes of preparing and reviewing commercial proposals, negotiating and managing contracts, and handling disputes, pre-litigation, or litigation proceedings, Inetum may disclose your personal data to third parties, including subcontractors, joint contractors, suppliers, or external legal advisors.
All individuals and entities to whom your personal data is disclosed — whether within the organisation or to external third parties — are bound by strict confidentiality or professional secrecy obligations.
HOW LONG WILL INETUM KEEP YOUR DATA?
The data collected through the contact form, the event registration form, the white paper download page and the chatbot will be stored for five years from the date they are collected. This retention period is necessary to enable comprehensive long-term trend analysis.
When this retention period expires, an email will be sent to you asking whether you wish to renew your consent. If you don’t, we will destroy your data.
Subject to applicable laws and regulations, your personal data may be retained for an extended period depending on the status of our business relationship:
- For the purposes of preparing and reviewing the commercial proposal; as well as negotiating and managing the ensuing contract, your personal data will be retained for one year following the end of the discussions or of the contract.
- For the management of disputes, pre-litigation and litigation proceedings, your personal data will be retained for five years after the resolution of the dispute or proceedings.

Under data protection laws and regulations, you have the right to request access to your personal data as well as to request rectification, erasure, restriction of processing, data portability and the right to object to the processing or to withdraw your consent.
